How do I subscribe or get an evaluation version?

Click on the Subscribe or Evaluation buttons on the home page. You will need to enter details requesting an account be set up in your firm's name. The individual that will be responsible for administering the account should complete this page. Please ensure your email address and contact information is entered correctly. If you have received a user input code to identify certain user groups, such as a large organisation or network, please enter this in the box provided, prior to submitting the form. You will then be able to start producing Suitability Letters immediately.

How long does the evaluation last?

An evaluation account will be live for 30 days only, after which time should you wish to carry on using Avail, you will need to subscribe by sending a completed Direct Debit Mandate to us which you will have received in your welcome email. Additional users added within the evaluation period will only be able to use the system for the remainder of the evaluation period.

How is my account set up?

There are two levels of account. On sign up, an administrator account is provided. An administrator is able to add and delete additional users, make amendments to the account and also add custom paragraphs for use with every user within the organisation. A standard user is able to produce and amend suitability letters but will not have access to different user accounts and will not have the facility to add custom paragraphs.

Logging into your account

To log into your account, simply enter your log in and password from the home page and this will take you directly into your account. The first time you log into your account you will be asked to view our licence agreement.

How do I write a suitability letter?

Click on the icon Write a new suitability letter which will take you through to the Avail on-line letter generator. In the tool bar at the top of your screen you will see a drop down box entitled Start here . Use this to choose a document type. For Example, click on the drop down menu and click on Cover letters . Then, in the box next to this, choose a type of cover letter you wish to produce. In the screen below make your paragraph selections. After selecting a paragraph you will note that it is inserted in a separate section in the bottom half of your screen, where you could change the order or amend the paragraphs as necessary.

Once you have finished constructing your cover letter, go back to the Start here drop down and click on the next section you would like to insert, such as products. From the right hand drop down box you will then be able to select the appropriate product for which you have given advice and start inserting paragraphs just like above.

How do I edit text in the suitability generator?

All text highlighted in yellow requires user input to make the letter bespoke. To personalise the yellow highlighted text simply click on the highlighted text in the bottom half of your screen. An additional box appears allowing you to alter the text. After alteration, the text will change to green highlighting, ensuring you can conveniently view all text whether amended or not.

How do I export the finished letter to my desktop?

Click the Microsoft Word icon on the top toolbar which allows you to export this letter into Microsoft Word on your desktop. From here, you can amend the letter again as necessary and ensure it is in the correct format for your business style. After this you should save the Word document on your own systems.Prior to logging out of the screen, remember to also save your work in Avail. You can come back and edit these letters within 30 days if required.

How do I create custom paragraphs? (administrators only)

Once you have logged into Avail, click on the icon Create your own custom paragraphs and then click the Add new button which will give you the facility to type a custom paragraph. You can add this custom paragraph into any category within Avail and the paragraph will be available to all users once added. Give the paragraph a title that is easily identifiable and then, type the paragraph you require. If you want to make any text editable and show in yellow highlight, use the Bold button on the words requiring this facility. Do Not cut and paste your custom paragraphs into Avail as they will not appear correctly.

How do I add additional users? (administrators only)

Once the administrator has logged into their account, they can set up a new user or edit the details of existing users. To add an additional user, click on the icon Set up a new system user and enter the information in the form provided. At this point, you will be able to choose the access level of additional users (administrators or standard users). Each additional user will be charged the monthly licence fee applicable to your account and collected via your Direct Debit mandate. You should note the terms of our licence agreement that prohibits the sharing of individual log-in details and, each user must have a separate log-in to access the system. To edit existing system users, administrators can click on the icon Edit existing system users and edit the account as required.

What is the view user statistics? (administrators only)

This allows the account administrator to view who logged into your account, view when a specific suitability letter was completed, when changes were made to the account or when additional paragraphs were inserted. All changes you make to your personalised site will be logged here.

I am part of a Network, can I use Avail?

Your network will have its own specific requirements for suitability letters and therefore you should check with your Compliance Department to ensure they are happy for you to use third party software for completion of your suitability letters. We work closely with a number of networks and have specific arrangements with some of these. The system will allow you to include any specific paragraphs your compliance department require you to use.

How long do you store suitability letters?

Avail stores copies of suitability letters that have been completed on-line for a maximum of 30 days, after which time they will be deleted from the system. Should you wish to edit a letter, please ensure that you do so within the 30 days. You are responsible for storing the completed Word document on your systems and in your client files.

How are payments collected?

All Direct Debits are collected on the 15 th of the month and the amount is calculated as a multiple of the number of users. Within your account you can view how many users are currently accessing the system and the total monthly fee payable.

Do you provide any desktop solutions?

Yes. The Avail desktop system is another delivery method of our highly popular tool. The Avail paragraph library is also available via the Vertex eSuitability tool, and shortly within 1st Software Adviser Office.

Is there a minimum contract term?

Yes. The minimum contract term is 12 months from the date of the first payment; however you can alter the number of users within the 12 months
